Beta Program Plan Template

Beta programme plan: learning questions, cohorts and size caps, entry criteria, feedback loop, consent and privacy questions, exit criteria, closure

Producto y proyectoEstándarbetaprogramplan

Cómo usar: Use it before opening a feature to beta testers ahead of general availability. Fill the learning questions and the exit criteria first, and agree them before the first participant joins. The main pitfall is running a beta with no decision at the end, so it turns into an early launch.

Beta Program Plan: [Product or feature name]

A plan for running a beta programme before general availability (GA): what the beta must prove, who takes part in which cohort, how people join and leave, how feedback flows back into the backlog, how participants give informed consent, and the exit criteria that decide whether the feature ships, changes or stops. Based on common product-management practice; the privacy section names EU, UK and US rules as dated examples with official links. Replace every [bracketed] value and every row marked Example. This is a planning format, not legal advice: check the current official texts and a qualified professional for your own case.

2. Cohorts and selection

C3 (Example)Open beta for existing customers1,500 usersOpt-in from settings, first comeLQ-01, LQ-02C2 gate passed
Total1,720 users

Selection rules:

  • Diversity of conditions: [Example: device models, network quality, team size, languages]
  • Exclusions: [Example: accounts in a contract renewal month, accounts with a regulated-data addendum not yet reviewed]
  • Accessibility: include at least [N] participants who use assistive technology, or record why not.

3. Entry criteria and onboarding

Before any cohort opens:

  • Feature flag allows enabling and disabling per account and per user (see the feature flag policy)
  • Rollback tested: [time to disable for all users, Example: under 5 minutes]
  • Known issues list published to participants
  • Support team briefed, macro replies and escalation path ready
  • Beta terms and consent text approved (section 6)
  • Telemetry for the metrics in section 7 verified in a test account

Onboarding steps for participants:

  1. Invitation with what the beta is, what is expected of them, the time commitment and how to leave.
  2. Acceptance of beta terms and, where consent is the lawful basis for any data use, a separate consent step.
  3. Welcome message with the feedback channel, the known issues link and the support contact.
  4. Optional kickoff session for design partners.

4. Feedback loop

Communication: [channels, for example a private community space, email updates, design-partner calls].

6. Consent, privacy and beta terms

Questions to settle with your privacy or legal contact:

  • Which data does the beta collect beyond normal product use (extra telemetry, session recordings, interview recordings), and on which lawful basis for each?
  • If consent is used, is it separate from the beta terms, specific to each purpose, recorded, and as easy to withdraw as to give?
  • Do participants include children or people in a dependent relationship (for example the customer's employees asked by their manager to join)? If so, is participation genuinely voluntary?
  • How long is beta-only data kept, and what happens to it when the beta closes?
  • Is a data protection impact assessment needed for any new processing?
  • Do confidentiality terms apply (for example a non-disclosure clause for unreleased features), and do they conflict with any right of the participant?

Dated examples of rules to check (check the current official text):

Interview and recording consent[Separate consent form, see the research consent form template][@privacy]
Retention of beta-only data[Example: deleted 90 days after the beta closes][@privacy]

7. Metrics and exit criteria

EX-04 (Example)Lost-update reports0[Value][Value][Value]
[EX-NN][Metric][Threshold]

Possible outcomes at the final gate:

  • Go to GA: all exit criteria met; hand over to the launch checklist.
  • Extend or change: some criteria missed with a clear fix; state the new date and what changes.
  • Stop: the learning questions show the feature does not solve the problem; plan the removal with the feature sunset plan.

8. Timeline and closure

C2 gate, C3 opensYYYY-MM-DD[@pm, @eng-lead]

At closure:

  • Participants told the outcome and what happens to the feature on their account
  • Beta-only data deleted or kept as agreed in section 6
  • Thank-you and recognition sent (for example a credit in release notes, if participants agree)
  • Findings summarised and linked from the PRD and the decision log
