Instructions for Use Template (IEC/IEEE 82079-1)
Product IFU: audience, applicable laws, production process, validation, safety messages, intended use, setup, operation, maintenance, disposal
Cara menggunakan: Use it when you ship a physical or connected product and need instructions that users can follow safely. Fill the target audience and the risk-to-safety-message traceability first, then write Part B. The main pitfall is collecting all warnings in one list instead of placing each at the step where the hazard occurs.
Pratinjau
Instructions for Use: [Product name] [model]
Instructions for use (IFU) for a physical or connected product: safety notices, intended use, product description, transport, installation, operation, maintenance, troubleshooting, decommissioning and disposal, plus the plan for producing, validating and keeping the information current. The structure is aligned with IEC/IEEE 82079-1:2019 (Edition 2.0), Preparation of information for use (instructions for use) of products: Part 1: Principles and general requirements. Replace every
[bracketed]value and every row marked Example. The worked example uses a fictional product, the Fenmarrow HW-150 electric pressure washer. This is a documentation format, not legal or safety-engineering advice: check the current official text of every law and standard that applies to your product, and involve a qualified professional.

- Intended use and foreseeable misuse
- Product description and technical data
- Transport, storage and unpacking
- Installation and setup
- Operation
- Maintenance and cleaning
- Troubleshooting
- Decommissioning and disposal
- Service, spare parts and contact
- Glossary and references

1. Scope and target audience
1.1 Scope
These instructions cover the [Fenmarrow HW-150] (Example) in all sales variants listed in section 8.1, from unpacking to disposal. They do not cover accessories sold separately; those have their own instructions, referenced in section 15.
1.2 Target audiences
| ID | Audience | What they do with the product | Assumed knowledge | Information they need |
|---|---|---|---|---|
| AUD-01 (Example) | Private user | Cleans patios, vehicles and garden furniture a few times a year | Reads the language of the market, no technical training, may not keep the booklet | Safety, setup, operation, simple care, troubleshooting |
| AUD-02 (Example) | Rental shop staff | Hands the unit to many short-term users, checks it on return | Basic mechanical skills, trained by the shop | Inspection checklist, quick-start card, maintenance |
| AUD-03 (Example) | Authorised service technician | Repairs pump and motor | Trained and certified by [Organisation] | Service manual (separate document), spare parts list |
Write Part B for AUD-01 and AUD-02. Information that only a trained technician may act on (AUD-03) goes into a separate service manual, so untrained users are not invited to open the housing.
1.3 Use context
Describe the conditions the reader is in when they need the information: outdoors, wet hands, noise, gloves on, no internet connection at the place of use, possibly in a hurry because something went wrong. These conditions decide the media in section 3.3: a printed quick-start card on the unit is often more useful than a complete manual on a website.
2. Applicable requirements
| ID | Requirement source | Market | What it asks of the instructions (own summary) | Status checked on |
|---|---|---|---|---|
| REQ-01 (Example) | Regulation (EU) 2023/1230 on machinery, applies from 20 January 2027 and replaces Directive 2006/42/EC | EU | Instructions in a language the user easily understands, essential content set out in its annex of health and safety requirements, and conditions under which instructions may be supplied in digital form instead of on paper | YYYY-MM-DD |
| REQ-02 (Example) | Regulation (EU) 2023/988, General Product Safety Regulation, applies since 13 December 2024 | EU | Consumer products come with instructions and safety information in a language consumers easily understand, decided by the Member State where the product is sold | YYYY-MM-DD |
| REQ-03 (Example) | Supply of Machinery (Safety) Regulations 2008 (SI 2008/1597), with OPSS guidance for Great Britain | UK (GB) | Before placing machinery on the market, the responsible person provides the information needed to use it safely, including instructions | YYYY-MM-DD |
| REQ-04 (Example) | ANSI Z535.6-2023, product safety information in manuals and other collateral materials (voluntary consensus standard) | US | Format and placement of safety messages in manuals, consistent with on-product labels | YYYY-MM-DD |
| REQ-05 | IEC/IEEE 82079-1:2019 | All | Principles and general requirements for preparing information for use | YYYY-MM-DD |
| REQ-06 | [Product-specific safety standard, for example the relevant part of the household-appliance safety series] | [Market] | [Content the product standard requires in the instructions] | YYYY-MM-DD |
| REQ-07 | [Customer contract or retailer specification] | [Customer] | [Formats, languages, page size] | YYYY-MM-DD |
Rules for this table:
- Name the edition and the application date. If a law is being replaced (as with REQ-01), record which regime applies to products placed on the market before and after the change date.
- Write the summary in your own words and link the official text in section 16.2. Do not paste legal wording into the instructions.
- Decide with your compliance owner whether digital-only delivery is allowed for this product and market, and record the decision and the conditions it depends on (for example, a paper copy on request, the period the online version stays available, and the access path from the product).
3. Information management process
3.1 Roles
| Role | Responsibility |
|---|---|
| Technical communication lead | Owns the IFU, plans content, approves wording and layout |
| Product safety engineer | Supplies the residual risks and confirms each safety message |
| Design engineer | Supplies technical data, drawings and settings, checks accuracy |
| Service lead | Confirms maintenance intervals, troubleshooting and spare parts |
| Localisation manager | Runs translation, terminology and in-country review |
| Compliance manager | Confirms legal content, markings and language coverage per market |
3.2 Inputs
List the source documents with their versions: risk assessment [RA-HW150 v3], bill of materials, electrical and hydraulic data sheets, label artwork, the previous model's IFU and its field feedback, and the terminology database. A change to any input triggers a review of the affected topics (section 3.5).
3.3 Media and formats
| Medium | Content | Audience | Reason |
|---|---|---|---|
| Printed booklet in the box (Example) | Complete Part B | AUD-01, AUD-02 | Works at the place of use without a device or connection |
| Quick-start card attached to the unit (Example) | Sections 6.2, 10.3 and 11.2 in pictures and short steps | AUD-01, AUD-02 | Read at the moment of use, cannot be lost |
| Web page from QR code on rating plate (Example) | Complete Part B in all languages, searchable, with video for setup | AUD-01 | Current version, accessible text, zoom |
| PDF download (Example) | Complete Part B, printable | AUD-02, retailers | Archive and print on demand |
Make sure the digital versions are accessible (text, not images of text; alternative text for figures; headings that work with a screen reader) and that the printed and digital versions carry the same version number.
3.4 Languages
| Language | Markets | Translator | In-country reviewer | Status |
|---|---|---|---|---|
| English (source) | [UK, IE, US] | Not applicable | [@name] | [Approved] |
| [German] | [DE, AT, part of CH] | [Vendor] | [@name] | [In review] |
| [French] | [FR, BE, LU, part of CH] | [Vendor] | [@name] | [Not started] |
3.5 Change control and retention
- Each product change request carries an "IFU impact" field. The technical communication lead decides which topics change.
- Keep every released version, with the product revisions it covers, for at least the period your applicable laws require for technical documentation, and keep superseded web versions reachable for products still in use.
- Record which version shipped with which serial-number range.

5. About these instructions
These instructions belong to the [Fenmarrow HW-150 electric pressure washer] (Example), model [HW-150], from serial number [C000001]. Read them completely before first use, keep them with the product, and pass them on to the next owner. The current version in every available language is at [URL from QR code].
How safety messages look in these instructions
| Signal word | Meaning |
|---|---|
| DANGER | A hazard that will cause death or serious injury if not avoided |
| WARNING | A hazard that could cause death or serious injury if not avoided |
| CAUTION | A hazard that could cause minor or moderate injury if not avoided |
| NOTICE | Information about possible damage to the product or property, not injury |
Each message names the hazard, its consequence, and how to avoid it. Use the same signal words, colours and symbols as the labels on the product, so readers recognise them.
