PBC Request List Template (Audit Prepared-by-Client Tracker)
Audit key dates, owners, request conventions, request list by area with owner, due date and status, samples, open items, status dashboard, lessons learned
How to use: Use it when an external audit, review or interim visit needs a shared evidence request tracker. Fill the key dates and owners first, then load the auditor's requests by area with agreed due dates. The main pitfall is due dates nobody agreed to and items owned by a department instead of a person.

PBC Request List: [Entity or group name] [Audit or review of the period ended YYYY-MM-DD]
Prepared-by-client (PBC) tracker for an external audit, review or interim visit: engagement header and key dates, owners and contacts, request conventions, the request list by audit area with owner, due date and status, sample selections, open items and escalations, a status dashboard, quality checks before submission and close-out lessons. Structure aligned with common audit practice for evidence requests under the International Standards on Auditing (ISA 500 on audit evidence, ISA 505 on external confirmations, ISA 530 on audit sampling) and PCAOB AS 1105 and AS 2201, cited by number only. Obtain the standard for the normative text. Replace every
[bracketed]value and every row marked Example. This is a document format, not audit, accounting or legal advice; your auditor's request list prevails.

Contents
1. Engagement header and key dates
A PBC list is the shared plan between the finance team and the auditor for every document, reconciliation, schedule and explanation the auditor needs. It makes the audit predictable: everyone can see what is due, who owns it and what is late. Most audit delays are not caused by findings but by evidence that arrives late, incomplete or in a form the auditor cannot use. A disciplined list prevents that.
Start with the dates. Take the statutory filing deadline and the auditor's report date as fixed points and work backwards: the audit committee meeting needs the clearance memo about a week before, the clearance memo needs fieldwork closed, and fieldwork needs the core schedules on day one and the draft statements within the first two weeks. Agree the dates with the auditor at the planning meeting and record them here.
| Milestone | Date | Comment |
|---|---|---|
| Planning meeting and request list agreed (Example) | 2026-10-20 | Scope, materiality, timetable and this list |
| Interim fieldwork (controls and early substantive work) | 2026-11-09 to 2026-11-20 | IT general controls, revenue and payroll controls |
| Bank and lender confirmations authorised | 2026-12-15 | Through the banks' confirmation platforms |
| Year-end stock counts | 2026-12-31 to 2027-01-02 | Leipzig fulfilment centre and Halle overflow hall; third-party warehouse confirmation (service organisation SO-004) |
| Year-end close complete, trial balance locked | 2027-01-22 | Day 15 close |
| Year-end fieldwork | 2027-01-25 to 2027-02-26 | On site three days a week, remote otherwise |
| Draft financial statements version 1 | 2027-02-05 | Full notes except subsequent events |
| Clearance meeting | 2027-02-26 | Open points and uncorrected misstatements |
| Audit committee | 2027-03-05 | Auditor's report to the audit committee (milestone MS-07 in the engagement letter) |
| Board approval and auditor's report signed | 2027-03-10 | Representation letter signed the same day |
| Annual financial report publication and Form 20-F filing | 2027-04-30 | Four months after year end (UK Disclosure Guidance and Transparency Rules, DTR 4.1; Form 20-F deadline for a foreign private issuer); check current rules |
| Subsidiary statutory filing deadlines | [YYYY-MM-DD] | Per local company law of each entity |
2. Roles, owners and contacts
Appoint a single coordinator in the finance team who owns this list, triages new requests, and is the only route for submissions unless the auditor and coordinator agree otherwise. The auditor appoints its own coordinator, usually the audit senior. Item owners prepare the evidence; reviewers check it before it goes to the auditor.
| Role | Name | Responsibility | Contact |
|---|---|---|---|
| Client coordinator (Example) | [@group-financial-controller] | Owns the list, approves submissions, runs the twice-weekly status call | [E-mail, phone] |
| Executive sponsor | [@cfo] | Resolves escalations, agrees judgement areas with the audit partner | [E-mail] |
| Component coordinators | [@controller-de], [@controller-uk], [@controller-us], [@controller-vn] | Own requests for their entity and statutory audits | [E-mail] |
| Area owners | See the owner column in section 4 | Prepare and review evidence | [E-mail] |
| Auditor coordinator | [Audit senior] | Issues requests, confirms receipt, accepts or returns items | [E-mail] |
| Audit manager | [Audit manager] | Agrees dates and scope changes | [E-mail] |
| Engagement partner | [Engagement partner] | Escalation point for judgement areas | [E-mail] |
3. Request conventions
Agree the conventions below with the auditor at the planning meeting and keep them stable for the whole engagement.
Identifiers. Each request has an ID of the form PBC-AREA-NNN, where AREA is a short code for the audit area (GOV, GC, CASH, REV, INV, PPE, LEA, DEBT, PAY, PUR, TAX, LEG, IT, OTH, ICFR) and NNN is a sequence number. Keep the auditor's own reference in the portal folder column so both sides can search by either.
Statuses. Use one set of statuses and define them so that "done" means the same thing to everyone:
| Status | Meaning | Who sets it |
|---|---|---|
| Not started (Example) | Owner has not begun preparing the item | Owner |
| In progress | Owner is preparing the item | Owner |
| Provided | Uploaded to the portal and reviewed by the client reviewer | Coordinator |
| Returned | Auditor needs more or different evidence; reason recorded in section 6 | Auditor coordinator |
| Accepted | Auditor confirms the item is sufficient for its purposes | Auditor coordinator |
| Not applicable | Item does not apply; reason agreed with the auditor | Coordinator and auditor |
Due dates. A due date is the date the item is uploaded, not the date preparation starts. Items due on the first day of fieldwork are the core schedules; later items follow the auditor's work plan. An item is overdue when its due date has passed and its status is Not started, In progress or Returned.
File naming and format. Name files with the request ID first, then a short description and the version, for example "PBC-REV-001 Revenue by segment v1.xlsx". Provide spreadsheets in native format with formulas intact and totals that agree with the trial balance; provide documents as searchable PDF. One request, one folder.
Data protection. Upload only through the agreed portal. Remove personal data the auditor does not need, for example bank details and home addresses in payroll files, and apply the access restrictions the portal offers. Record any transfer of personal data to the auditor in line with your data protection obligations and the engagement letter.
Changes. New requests during fieldwork are added at the end of the relevant area with a new ID and a due date agreed with the owner. Do not renumber items.
4. Request list by area
The tables below hold the full request list. Each area starts with a short note on what the auditor typically needs and the common delays. Statuses in the example are as at 2027-02-12. Sort each table by due date when working on it, but keep the IDs stable.
4.1 Governance, general and going concern
Governance items let the auditor understand decisions taken during the year and after it. Provide minutes in final form where they exist and signed summaries of decisions for meetings whose minutes are still in draft. The draft financial statements and the consolidation workbook are the spine of the audit: deliver them on the agreed date even if some notes are incomplete, and mark the incomplete notes clearly. Going concern evidence belongs here because it draws on the budget, the treasury forecast and the board's judgement; see Going Concern Assessment (finance/going-concern-assessment).
| ID | Request | Owner | Due | Status | Auditor contact | Portal folder |
|---|---|---|---|---|---|---|
| PBC-GOV-001 (Example) | Board, audit committee and shareholder minutes for FY2026 and up to the latest meeting | [@company-secretary] | 2027-01-25 | Accepted | [Audit senior] | [GOV/PBC-GOV-001] |
| PBC-GOV-002 | Group structure chart with ownership percentages and changes in the year | [@group-financial-controller] | 2026-11-30 | Accepted | [Audit senior] | [GOV/PBC-GOV-002] |
| PBC-GOV-003 | Board approval of the FY2027 budget (minute of 2026-12-10) | [@company-secretary] | 2027-01-25 | Accepted | [Audit senior] | [GOV/PBC-GOV-003] |
| PBC-GOV-004 | Draft consolidated financial statements and notes, version 1 | [@group-financial-controller] | 2027-02-05 | Provided | [Audit senior] | [GOV/PBC-GOV-004] |
| PBC-GOV-005 | Consolidation workbook with eliminations and FX translation | [@consolidation-lead] | 2027-02-05 | Provided | [Audit senior] | [GOV/PBC-GOV-005] |
| PBC-GC-001 | Going concern assessment and model (GCA-2026-001) | [@cfo] | 2027-02-12 | In progress | [Audit senior] | [GC/PBC-GC-001] |
| PBC-GC-002 | Relationship bank letters on refinancing appetite | [@treasurer] | 2027-02-19 | Not started | [Audit senior] | [GC/PBC-GC-002] |
4.2 Cash and treasury
Cash is usually tested early because bank confirmations take time. Authorise confirmation requests through the banks' platforms before the year end, provide reconciliations for every account including dormant ones, and explain any reconciling item older than one month. Keep the bank account list complete, with signatories, because the auditor also uses it to test controls over payments.
| ID | Request | Owner | Due | Status | Auditor contact | Portal folder |
|---|---|---|---|---|---|---|
| PBC-CASH-001 (Example) | Bank reconciliations for all accounts at 2026-12-31 | [@treasury-analyst] | 2027-01-25 | Accepted | [Audit senior] | [CASH/PBC-CASH-001] |
| PBC-CASH-002 | List of bank accounts opened and closed in the year, with signatories | [@treasury-analyst] | 2027-01-25 | Accepted | [Audit senior] | [CASH/PBC-CASH-002] |
4.3 Revenue and receivables
Revenue is a presumed fraud risk in most audits, so expect detailed requests and samples. Reconcile revenue by stream to the ledger and to the billing system before submitting, and provide the contract liability roll-forward with the same segment split. For each sampled transaction, deliver the contract or order, evidence of delivery or service start, the invoice and the cash receipt as one file per sample item.
| ID | Request | Owner | Due | Status | Auditor contact | Portal folder |
|---|---|---|---|---|---|---|
| PBC-REV-001 (Example) | Revenue by segment and month reconciled to the general ledger | [@revenue-accountant] | 2027-01-29 | Accepted | [Audit senior] | [REV/PBC-REV-001] |
| PBC-REV-002 | Contract liabilities roll-forward for subscription billing | [@revenue-accountant] | 2027-01-29 | Returned | [Audit senior] | [REV/PBC-REV-002] |
| PBC-REV-003 | Aged receivables listing and expected credit loss calculation | [@credit-controller] | 2027-01-29 | Accepted | [Audit senior] | [REV/PBC-REV-003] |
| PBC-REV-004 | Support for revenue sample SMP-REV-01 (25 items) | [@revenue-accountant] | 2027-02-10 | In progress | [Audit senior] | [REV/PBC-REV-004] |
| PBC-REV-005 | Principal versus agent memo for marketplace sales | [@technical-accounting] | 2027-01-29 | Accepted | [Audit senior] | [REV/PBC-REV-005] |
4.4 Inventory
Inventory evidence depends on the count, which the auditor attends or observes remotely. Send the count instructions in advance, record the count results and adjustments the same day, and keep the cut-off documents for the last goods received and dispatched. Provide the obsolescence workings with the policy, the ageing and the net realisable value evidence for slow-moving lines.
| ID | Request | Owner | Due | Status | Auditor contact | Portal folder |
|---|---|---|---|---|---|---|
| PBC-INV-001 (Example) | Stock count instructions and count results, Leipzig fulfilment centre and Halle overflow hall, plus the third-party warehouse confirmation (SO-004) | [@supply-chain-controller] | 2027-01-15 | Accepted | [Audit senior] | [INV/PBC-INV-001] |
| PBC-INV-002 | Net realisable value and obsolescence provision workings | [@supply-chain-controller] | 2027-01-29 | Provided | [Audit senior] | [INV/PBC-INV-002] |
4.5 Property, plant, equipment and intangibles
Provide the asset register roll-forward reconciled to the ledger, then the support for additions, disposals and impairment. Capitalised development is a judgement area: deliver the project list, the hours or cost basis and the evidence for each capitalisation criterion. The impairment model must use the same plan as the budget and the going concern assessment; see Impairment Test Memo (finance/impairment-test-memo) and Fixed Asset Register (finance/fixed-asset-register).
| ID | Request | Owner | Due | Status | Auditor contact | Portal folder |
|---|---|---|---|---|---|---|
| PBC-PPE-001 (Example) | Fixed asset register roll-forward reconciled to the ledger | [@fixed-asset-accountant] | 2027-01-29 | Accepted | [Audit senior] | [PPE/PBC-PPE-001] |
| PBC-PPE-002 | Capitalised development: project list, hours and capitalisation criteria | [@rd-finance-partner] | 2027-02-03 | Provided | [Audit senior] | [PPE/PBC-PPE-002] |
| PBC-PPE-003 | Goodwill impairment test and model | [@head-of-fpa] | 2027-02-12 | In progress | [Audit senior] | [PPE/PBC-PPE-003] |
4.6 Leases
Provide the lease register and the calculation for new and modified leases with the contracts. Explain judgements on lease term and discount rates in a short memo; the auditor will compare them with the business plan. Lease Accounting Memo (finance/lease-accounting-memo) is the format for that memo.
| ID | Request | Owner | Due | Status | Auditor contact | Portal folder |
|---|---|---|---|---|---|---|
| PBC-LEA-001 (Example) | Lease register and IFRS 16 calculation, new and modified leases | [@lease-accountant] | 2027-01-29 | Accepted | [Audit senior] | [LEA/PBC-LEA-001] |
| PBC-LEA-002 | Lease term judgement memo for warehouse extension options | [@technical-accounting] | 2027-02-05 | Provided | [Audit senior] | [LEA/PBC-LEA-002] |
4.7 Debt and equity
Provide the facility agreements and every amendment, waiver and compliance certificate in the year. The auditor tests covenants on the agreement's own definitions and checks the classification of borrowings. Equity requests cover share movements, dividends and share-based payments, each with board approval.
| ID | Request | Owner | Due | Status | Auditor contact | Portal folder |
|---|---|---|---|---|---|---|
| PBC-DEBT-001 (Example) | Bank and lender confirmations authorised | [@treasurer] | 2026-12-15 | Accepted | [Audit senior] | [DEBT/PBC-DEBT-001] |
| PBC-DEBT-002 | Facility agreements, amendments and covenant definitions | [@treasurer] | 2027-01-25 | Accepted | [Audit senior] | [DEBT/PBC-DEBT-002] |
| PBC-DEBT-003 | Quarterly covenant compliance certificates for FY2026 | [@treasurer] | 2027-01-25 | Accepted | [Audit senior] | [DEBT/PBC-DEBT-003] |
| PBC-DEBT-004 | Share capital, dividends and share-based payment calculations | [@company-secretary] | 2027-02-05 | Provided | [Audit senior] | [DEBT/PBC-DEBT-004] |
4.8 Payroll and people costs
Payroll is high volume and usually tested through controls plus analytics. Provide country payroll reconciliations to the ledger, starters and leavers lists for sampling, and the approval of bonus schemes and accruals. Personal data in payroll files must be minimised: send only the fields the auditor needs.
| ID | Request | Owner | Due | Status | Auditor contact | Portal folder |
|---|---|---|---|---|---|---|
| PBC-PAY-001 (Example) | Payroll reconciliations by country to the ledger | [@payroll-manager] | 2027-01-29 | Accepted | [Audit senior] | [PAY/PBC-PAY-001] |
| PBC-PAY-002 | Bonus accrual and FY2026 bonus scheme approval | [@chro] | 2027-02-03 | Returned | [Audit senior] | [PAY/PBC-PAY-002] |
| PBC-PAY-003 | Starters and leavers list for payroll sample | [@payroll-manager] | 2027-01-29 | Accepted | [Audit senior] | [PAY/PBC-PAY-003] |
4.9 Purchases, payables and accruals
The auditor searches for liabilities that were not recorded, so expect requests for payments made after the year end and for supplier statements. Provide accrual listings with support for items above the agreed threshold, and keep the support for invoices received after the cut-off date ready to send.
| ID | Request | Owner | Due | Status | Auditor contact | Portal folder |
|---|---|---|---|---|---|---|
| PBC-PUR-001 (Example) | Aged payables listing and supplier statement reconciliations (top 20) | [@ap-lead] | 2027-01-29 | Accepted | [Audit senior] | [PUR/PBC-PUR-001] |
| PBC-PUR-002 | Accruals listing with support above EUR 25k | [@ap-lead] | 2027-01-29 | Provided | [Audit senior] | [PUR/PBC-PUR-002] |
| PBC-PUR-003 | Search for unrecorded liabilities: population listing of payments 2027-01-01 to 2027-02-15 (support for the sample follows under SMP-PUR-01) | [@ap-lead] | 2027-02-17 | Not started | [Audit senior] | [PUR/PBC-PUR-003] |
4.10 Tax
Tax requests often arrive late because computations depend on final numbers. Agree with the auditor which items can be delivered on draft figures and which only on final figures. Mark items that do not apply as Not applicable with the reason; for example the global minimum tax rules apply only to groups above the revenue threshold. See Income Tax Provision (finance/income-tax-provision).
| ID | Request | Owner | Due | Status | Auditor contact | Portal folder |
|---|---|---|---|---|---|---|
| PBC-TAX-001 (Example) | Current and deferred tax computations by entity | [@head-of-tax] | 2027-02-05 | In progress | [Audit senior] | [TAX/PBC-TAX-001] |
| PBC-TAX-002 | Uncertain tax positions and open tax audits, including Vietnam transfer pricing review | [@head-of-tax] | 2027-02-05 | Provided | [Audit senior] | [TAX/PBC-TAX-002] |
| PBC-TAX-003 | Pillar Two exposure assessment for FY2026 disclosures | [@head-of-tax] | 2027-02-05 | Not applicable | [Audit senior] | [TAX/PBC-TAX-003] |
4.11 Legal, related parties and subsequent events
Legal confirmations take time: provide the list of lawyers and authorise the letters early. Provide the litigation schedule, the related party register and the directors' declarations, and plan the subsequent events review for the days immediately before signing. These items support the representation letter; see Management Representation Letter (finance/management-representation-letter) and Related Party Register (finance/related-party-register).
| ID | Request | Owner | Due | Status | Auditor contact | Portal folder |
|---|---|---|---|---|---|---|
| PBC-LEG-001 (Example) | List of external lawyers and authority for lawyers' letters | [@general-counsel] | 2027-01-15 | Accepted | [Audit senior] | [LEG/PBC-LEG-001] |
| PBC-LEG-002 | Litigation and claims schedule, including the UK supplier claim | [@general-counsel] | 2027-02-05 | Accepted | [Audit senior] | [LEG/PBC-LEG-002] |
| PBC-LEG-003 | Related party register and directors' interests declarations | [@company-secretary] | 2027-01-29 | Accepted | [Audit senior] | [LEG/PBC-LEG-003] |
| PBC-LEG-004 | Subsequent events review to the signing date | [@group-financial-controller] | 2027-03-09 | Not started | [Audit senior] | [LEG/PBC-LEG-004] |
4.12 IT and internal control
IT general control evidence (access, change management, operations) is usually requested at the interim visit and rolled forward at the year end. Provide service organisation reports with bridge letters covering any gap to the year end, and the complementary user entity controls you operate. Provide the control deficiency log so that the auditor can align its own deficiency evaluation; see Control Deficiency Evaluation (compliance/control-deficiency-evaluation).
| ID | Request | Owner | Due | Status | Auditor contact | Portal folder |
|---|---|---|---|---|---|---|
| PBC-IT-001 (Example) | User access review evidence for the ERP and billing platform | [@it-controls-lead] | 2027-01-15 | Accepted | [Audit senior] | [IT/PBC-IT-001] |
| PBC-IT-002 | SOC 1 type 2 report for the payroll provider and bridge letter | [@it-controls-lead] | 2027-01-29 | Accepted | [Audit senior] | [IT/PBC-IT-002] |
| PBC-IT-003 | Change management log for the billing platform, Q4 2026 | [@it-controls-lead] | 2027-01-29 | Provided | [Audit senior] | [IT/PBC-IT-003] |
| PBC-IT-004 | Control deficiency log and remediation status | [@internal-controls-lead] | 2027-02-05 | Provided | [Audit senior] | [IT/PBC-IT-004] |
4.13 Other information and disclosures
The auditor reads the other information in the annual report for consistency with the financial statements, and reviews the disclosure checklist. Provide drafts as soon as they exist and a final version before publication. Financial Statement Disclosure Checklist (finance/financial-statement-disclosure-checklist) is the format for the checklist.
| ID | Request | Owner | Due | Status | Auditor contact | Portal folder |
|---|---|---|---|---|---|---|
| PBC-OTH-001 (Example) | Draft annual report sections other than the financial statements | [@investor-relations] | 2027-02-19 | Not started | [Audit senior] | [OTH/PBC-OTH-001] |
| PBC-OTH-002 | Disclosure checklist completed for FY2026 | [@group-financial-controller] | 2027-02-12 | In progress | [Audit senior] | [OTH/PBC-OTH-002] |
4.14 ICFR (SOX 404 integrated audit)
An auditor that also gives an opinion on internal control over financial reporting under PCAOB AS 2201 needs management's own evaluation as evidence of what management did and as a starting point for its own work. Provide the risk and control matrix and the scoping early, the test results as they are completed, and the deficiency evaluation before the clearance meeting. The SOX 302 sub-certifications from component and functional leaders support both the Form 20-F certifications and the ICFR representations in Management Representation Letter (finance/management-representation-letter). Keep IDs aligned with Risk and Control Matrix (compliance/risk-control-matrix), Control Testing Workpaper (compliance/control-testing-workpaper) and ICFR Management Assessment (compliance/icfr-management-assessment).
| ID | Request | Owner | Due | Status | Auditor contact | Portal folder |
|---|---|---|---|---|---|---|
| PBC-ICFR-001 (Example) | Risk and control matrix, scoping of significant accounts and locations, and walkthrough documentation | [@sox-programme-lead] | 2026-11-02 | Accepted | [Audit senior] | [ICFR/PBC-ICFR-001] |
| PBC-ICFR-002 | Management's test results: interim testing, remediation retests and December roll-forward | [@sox-programme-lead] | 2027-01-29 | Provided | [Audit senior] | [ICFR/PBC-ICFR-002] |
| PBC-ICFR-003 | Deficiency evaluation and aggregation (DEF-2026-001 to DEF-2026-003, AGG-01) and draft management assessment | [@internal-controls-lead] | 2027-02-19 | In progress | [Audit senior] | [ICFR/PBC-ICFR-003] |
| PBC-ICFR-004 | SOX 302 sub-certifications from component and functional leaders | [@group-financial-controller] | 2027-03-03 | Not started | [Audit senior] | [ICFR/PBC-ICFR-004] |
5. Sample selections
Auditors select samples from populations you provide (revenue transactions, additions, payroll changes, payments after the year end). Each sample creates many small evidence requests. Track progress by item, deliver support in one file per item, and tell the auditor early if an item cannot be supported, because a missing item is treated as an exception and can extend the testing.
| Sample ID | Population | Linked request | Items selected | Items supported | Items outstanding | Due | Owner |
|---|---|---|---|---|---|---|---|
| SMP-REV-01 (Example) | FY2026 revenue invoices above EUR 5k | PBC-REV-004 | 25 | 18 | 7 | 2027-02-10 | [@revenue-accountant] |
| SMP-PPE-01 (Example) | Additions to property, plant and equipment and intangibles | PBC-PPE-001 | 12 | 12 | 0 | 2027-02-03 | [@fixed-asset-accountant] |
| SMP-PAY-01 (Example) | Starters and leavers in FY2026 | PBC-PAY-003 | 10 | 10 | 0 | 2027-02-03 | [@payroll-manager] |
| SMP-PUR-01 (Example) | Payments 2027-01-01 to 2027-02-15 above EUR 25k | PBC-PUR-003 | Not yet selected | 0 | Not yet selected | 2027-02-24 | [@ap-lead] |
| Total selected to date | 47 | 40 | 7 |
Check: 25 + 12 + 10 = 47 selected; 18 + 12 + 10 = 40 supported; 47 - 40 = 7 outstanding.
For each sampled item, check before upload that the evidence shows the attribute the auditor is testing: existence (the item is real), occurrence and cut-off (it happened in the period), accuracy (amount and terms agree), and authorisation where controls are tested. Provide the full chain of documents rather than the invoice alone.
6. Open items, blockers and escalations
Review this section at every status call. Record why each item is late and what will unblock it. Escalate to the executive sponsor any item that is more than five working days overdue or that blocks the auditor's work on a significant risk.
| Item | Status | Days overdue at 2027-02-12 | Reason | Action and new date | Escalated to |
|---|---|---|---|---|---|
| PBC-REV-002 (Example) | Returned | 10 working days | Roll-forward did not agree to billing system for upgrades in December | Reconcile upgrade invoices; resubmit 2027-02-15 | [@cfo] |
| PBC-REV-004 | In progress | 2 working days | Seven sampled items need delivery evidence from a third-party logistics provider | Logistics provider portal access granted; 2027-02-16 | Not yet |
| PBC-PAY-002 | Returned | 7 working days | Bonus accrual lacks remuneration committee approval of the FY2026 scheme | Provide committee minute of 2026-12-14; 2027-02-14 | [@chro] |
| PBC-TAX-001 | In progress | 5 working days | US deferred tax computation waits for final US trial balance adjustments | US close adjustments posted 2027-02-11; computation 2027-02-17 | [@cfo] |
Returned items need a short root cause as well as a new date. In the example, PBC-REV-002 was returned because a December pricing change was not reflected in the contract liability schedule; the fix also explains an uncorrected misstatement under discussion. Link returned items to the misstatement or control deficiency they reveal so that the clearance meeting has the full picture.
7. Status dashboard
Summarise the list in one view for the CFO and the audit manager. Counts must add up to the number of items in section 4.
| Status at 2027-02-12 | Count | Share |
|---|---|---|
| Not started (Example) | 5 | 10.4% |
| In progress | 6 | 12.5% |
| Provided | 11 | 22.9% |
| Returned | 2 | 4.2% |
| Accepted | 23 | 47.9% |
| Not applicable | 1 | 2.1% |
| Total | 48 | 100.0% |
| Overdue (of which) | 4 | 8.3% |
Check: 5 + 6 + 11 + 2 + 23 + 1 = 48. Closed (accepted or not applicable) 24 of 48 = 50.0%; provided or better 35 of 48 = 72.9%; overdue 4 of 48 = 8.3%.
| Area | Not started | In progress | Provided | Returned | Accepted | Not applicable | Total |

| 4.10 Tax | 0 | 1 | 1 | 0 | 0 | 1 | 3 |
| 4.11 Legal, related parties and subsequent events | 1 | 0 | 0 | 0 | 3 | 0 | 4 |
| 4.12 IT and internal control | 0 | 0 | 2 | 0 | 2 | 0 | 4 |
| 4.13 Other information and disclosures | 1 | 1 | 0 | 0 | 0 | 0 | 2 |
| 4.14 ICFR (SOX 404 integrated audit) | 1 | 1 | 1 | 0 | 1 | 0 | 4 |
| Total | 5 | 6 | 11 | 2 | 23 | 1 | 48 |
Interpret the dashboard, do not just publish it. In the example, half the list is closed two weeks before the end of fieldwork, which is on track, but the items still open include four of the judgement-heavy areas (going concern, impairment, tax and the ICFR deficiency evaluation). Those are the items that determine whether the clearance meeting on 2027-02-26 can close, so the CFO reviews them individually rather than relying on the percentage.
8. Quality checks before submission
Returned items cost twice: the auditor's time to review and explain, and the owner's time to redo. Apply these checks before setting an item to Provided:
- The schedule agrees to the locked trial balance, and the agreement is shown on the face of the schedule.
- Totals foot and cross-foot; formulas are intact and no values are hard-coded over formulas.
- The period, entity and currency are stated on every page or tab.
- Reconciling items are explained, aged and supported, and none is a balancing figure.
- Supporting documents are complete, legible and named with the request ID.
- Personal data not needed by the auditor has been removed.
- The reviewer has initialled and dated the item, in the file or in the portal.
Keep a short log of returned items and their causes. Patterns, such as reconciliations that never agree to the ledger at the first attempt, point to close process weaknesses that are better fixed in Month-End Close Checklist (finance/month-end-close-checklist) than at the year end.
9. Close-out and lessons learned
When the auditor's report is signed, set the list to Closed, archive the portal content with the statutory records in line with your retention policy, and confirm with the auditor which items it has retained. Hold a short retrospective with the area owners and the auditor within a month while the experience is fresh.
| ID | Observation | Effect | Action for next year | Owner | Due |
|---|---|---|---|---|---|
| LL-001 (Example) | Contract liability roll-forward returned twice | Revenue testing delayed by eight working days | Build the roll-forward into the December close and review it in January | [@revenue-accountant] | 2027-11-30 |
| LL-002 (Example) | Bonus approval evidence was outside finance | Payroll item returned | Add remuneration committee minutes to the governance pack delivered on day one | [@company-secretary] | 2027-12-31 |
| LL-003 (Example) | Going concern evidence produced in the final fortnight | Late audit challenge on the downside scenario | Present the going concern assessment draft at the interim visit | [@cfo] | 2027-11-15 |
| LL-004 (Example) | Interim IT controls testing went well | No year-end IT requests beyond roll-forward | Keep the interim approach | [@it-controls-lead] | 2027-11-09 |
Carry the final list forward as the starting point for next year: delete items that will not recur, add the new ones the auditor has signalled (for example new standards or new entities), and pre-assign owners and due dates before the planning meeting.
