Impact Report Template
Annual impact report: leadership letter, year in numbers, outcomes vs baseline and target, consented stories, finances
使い方: Use it to report a year's results to donors, partners and the public. Gather and verify the indicator data and accounts first, then write the narrative. Main pitfall: reporting only outputs and hiding missed targets; show baseline, target and actual side by side.

Impact Report [YYYY]: [Organisation name]
An annual impact report for donors, partners, the communities served and the public: leadership letter, mission, the year in numbers, programme outcomes measured against baselines and targets, consented stories, methodology and data quality, financial summary, acknowledgements and lessons for next year. Based on common nonprofit impact-reporting practice. It is a reporting format, not financial, legal or accounting advice; financial figures must match your audited or reviewed accounts and any regulator filings. Replace every
[bracketed]value and every passage marked Example.

1. Letter from leadership
Dear friends and partners,
[Example: This year we reached more families than ever, and we learned that reaching them is not the same as changing outcomes for them. Our reading programme expanded from 80 to 120 schools, and the share of year 3 pupils reading at the national benchmark rose from 58% to 66%. That is real progress, but short of the 70% we set ourselves.]
[Example: We also faced a hard year for funding: two long-term grants ended, and we reduced central costs to protect programme delivery. In the year ahead we will focus on coaching quality in the schools where results lagged, and on building a broader base of individual donors.]
[Example: Thank you to the teachers, parents, volunteers, partners and donors who made this work possible.]
[Name], Executive Director [Name], Board Chair
2. Our mission
- Mission: [Example: Every child in [Region] reads with confidence by age nine.]
- Vision: [Example: Communities where learning starts at home and continues for life.]
- How we work: [Example: We train and coach teachers, put books in classrooms and homes, and support parents to read with their children. See our theory of change: [link].]
- Where we work: [Example: 3 districts, 120 schools, [N] communities]
3. The year in numbers

4. Programmes and outcomes
4.1 [Programme A: Example: Teacher training and coaching]
[Example: Five-day initial training followed by monthly classroom coaching for teachers of years 1 to 3.]
| Indicator | Baseline (YYYY) | Target | Actual | Status |
|---|---|---|---|---|
| Example: % of observed lessons using structured method | 8% | 60% | 61% | Met |
| Example: Coaching visits completed vs planned | n/a | 90% | 74% | Not met |
| Example: Teachers retained in programme schools | 88% | 90% | 91% | Met |
Variance explanation: [Example: Coaching visits fell short in the rainy season when 30 schools were unreachable for six weeks; we are piloting phone-based coaching for those months.]
4.2 [Programme B: Example: Books and libraries]
[Short description.]
| Indicator | Baseline (YYYY) | Target | Actual | Status |
|---|---|---|---|---|
| Example: Books borrowed per child per month | 0.3 | 3.0 | 3.4 | Met |

Variance explanation: [Explanation].
4.3 [Programme C: Example: Family reading]

4.4 Overall outcome
| Goal indicator | Baseline | Target | Actual | Source |
|---|---|---|---|---|
| Example: % of year 3 pupils at national reading benchmark | 58% | 70% | 66% | National assessment, YYYY |
Contribution, not attribution: [Example: other actors, including a national curriculum reform, also influenced results; our comparison with non-programme schools in the same districts (52% to 55%) suggests our work contributed a meaningful part of the change.]
5. Stories of change
All stories are shared with the informed consent of the people involved. Names marked with an asterisk have been changed.
5.1 [Story title: Example: "Now I teach the sounds first"]
[Example: Grace*, a year 2 teacher with 61 pupils, used to start with whole words. After training and four coaching visits she now begins each lesson with five minutes of letter sounds. By the end of the year, 40 of her pupils could read a short paragraph, up from 12 at the start.]
Consent reference: [CONSENT-YYYY-014], obtained YYYY-MM-DD.
5.2 [Story title]
[Story text, 100 to 200 words, with one specific detail and one result.]
Consent reference: [CONSENT-YYYY-NNN], obtained YYYY-MM-DD.
6. Methodology and data quality
| Indicator | Method | Sample | Collected by | Limitations |
|---|---|---|---|---|
| Example: Reading benchmark | National assessment results for programme schools | All year 3 pupils, n = 6,820 | Ministry of Education | Comparison schools not randomly selected |

| Example: Parent reading | Household survey | 600 households, stratified random sample | Independent enumerators | Self-reported |
| [Indicator] | [Method] | [Sample] | [Who] | [Limitations] |
- Data protection: [Example: personal data is collected with consent, stored encrypted, accessed only by named staff and reported only in aggregate, in line with applicable data protection law].
- Verification: [Example: an external evaluator reviewed the observation data for 20% of schools].
- Changes from last year: [Example: new observation tool; results are not directly comparable for that indicator].
- Safeguarding: [Example: all staff collecting data with children completed safeguarding training].
